Onboard to NSW Data Cloud

Before you can onboard to Data Cloud, there are xx you need to take.

  1. Nominate an organisation administrator
  2. Register and accept the Terms and Conditions

 

Data Cloud roles and permissions

 

There are XX ‘system’ or key Data Cloud roles. The roles are Organisation administrator, Project Administrator and Data product owner. 

These key roles will help your organisation oversight and manage its activities on Data Cloud and facilitate the data request and management workflow.

The roles have different permissions – some roles have broad permissions (they can see and do everything) and other roles have restricted permissions (they can see and perform limited actions).

Everybody in your organisation will be a general user. This role gives them a limited set of permissions as a default and enables them to:

  • make a data request and invite others to contribute to the request
  • view, edit, submit and withdraw a data request they have created or they have been invited to contribute to.
  • upload data products for sharing 

The other three roles need to be manually assigned to individuals in your organisation.

When deciding which individuals should be assigned to the Organisation administratorData product owner and Approving officer roles, consider the data roles your organisation currently has, such as data stewards, chief data officers, or data policy and governance teams, the type of data expertise and level of responsibility they have, and integrate the Data Cloud roles with your existing data roles.

 

Organisation administrator

The Organisation administrator is an important role. It has been designed to provide an organisation the ability to manage their users on Data Cloud and give them visibility of all their data sharing activities.

At least one individual in the organisation must be assigned to this role for your organisation to get on Data Cloud.

In addition to the general user permissions, an Organisation administrator can:

  • assign and remove individuals from key Data Cloud roles (Organisation administrator and  Data product owner)
  • update user details
  • remove an individual from data request
  • edit the organisation’s profile
  • run reports, monitor and oversee users activities.
     

The Data Cloud Terms of Use for organisations, require the organisation to ensure the safe and appropriate use of Data Cloud by its users. Given the permissions this role has, it is well suited to regulate and monitor the organisation’s data sharing activities and make sure the organisation’s users are doing the right thing.

This role can be assigned to one or more individuals. New users can be assigned or removed from the role at any time, as long as at least one individual is assigned as an Organisation administrator at all times.
 

Data product owner

A Data product owner facilitates the flow and management of data requests for the organisation.

This role is most useful to organisation’s that receive data requests through Data Cloud (i.e. they are data custodians). This role  triage data requests  then assesses data requests to determine if the organisation will share its data.

If your organisation is only requesting data (i.e. you are not a data custodian on Data Cloud, for example universities) this role may be useful if your organisation needs key individuals to view and edit all data transactions across the organisation, or to play any kind of coordination role.

In addition to the general user permissions, a Data product owner can:

  • manage, triage and approve data requests 
  • view and edit any of the organisation’s data requests
  • make a decision whether a Data Sharing Agreement is needed

This role can be assigned to one or more individuals within the organisation.
